More Than Just Time Savings

Student data often wasn’t fully entered into the system for months after the first day of school. Kristin Bowling, Director of Technology Services, explains, “A lot of those paper enrollment forms were not actually getting into PowerSchool. By the time they were done with every one of them, it was December.”

This delay created a backlog that left staff constantly trying to catch up, and more importantly, it introduced real-world risks. “What if there was an emergency, and we needed to get ahold of Johnny’s parents, but the clerk had not inputted the hard copy into PowerSchool SIS? Now we have no accurate information or addresses or phone numbers,” which, as Bowling and other district leaders recognized, created a security risk.

The sheer volume of paperwork and constant interruptions to handle parent inquiries or correct errors left staff feeling overwhelmed and stuck in reactive mode. This is where Enrollment Express, integrated directly within PowerSchool SIS, became a game-changer.

Enrollment Express offers a fully digital enrollment solution that eliminates manual data entry. Data entered by parents automatically flows into PowerSchool SIS. This automation means that staff no longer need to handle every single form, approve every detail, or correct errors manually. Bowling shares that “it saved them months of work from not having to input all of those hard copy forms.”

According to Bowling, EESD’s new digital enrollment processes have “saved a ton of secretaries time, especially because they only have two weeks before school starts.” Instead of spending weeks—or even months—manually entering student information, staff could simply approve or reject entries, allowing them to move on to more critical tasks.

Staff also noticed a significant drop in office interruptions. “They don’t have as many parents coming into the office at the beginning of the year. That constant door opening and handing out paperwork here and there” doesn’t happen anymore, Bowling says. “It saves them two weeks of constant interruptions.” Staff no longer feel buried under piles of paperwork, and by the time the school year starts, real-time, accurate student information is already in place. 

Cleaning Up Dirty Data

In a manual enrollment process, mistakes are almost inevitable. With so much data being entered by hand—address changes, emergency contacts, medical information—errors, inconsistencies, and outdated information began to pile up. This led to what the district referred to as “dirty data,” where crucial information wasn’t always accurate, creating risks and inefficiencies.

“So many months went by where we had dirty data in our system … and we didn’t want dirty data. We needed to clean it up,” explains Bowling. “It’s been a huge uphill battle to clean out the dirty data,” she continues.

The new Contacts page within PowerSchool SIS is one of the most helpful tools in cleaning up data inaccuracies. This feature provides a comprehensive view of each student’s data in an organized, easy-to-access format. Instead of sifting through paperwork or multiple systems, administrators now have all the necessary information at their fingertips.

“[With a] click of the button, you can have student information,” Bowling states. “We really love the new contacts page that came out in the SIS—that was really huge.”

PowerSchool Ecollect Forms, an online data collection tool, helps the district gather clean, accurate information. With Ecollect Forms, EESD can create, edit, and share K-12 forms for all data collection needs directly within PowerSchool SIS, reducing paperwork and ensuring data security.

Streamlining School Choice

Managing school choice and student placement was another significant challenge for EESD. Families could request different schools for their children with an open school choice policy across the entire county. However, handling these requests manually was a time-consuming process.

Bowling says, “We have an open school choice across the county. So this [online enrollment] is really letting you see, in a much quicker and easier way, we’re under-enrolled in this school, and these five families want this school.”

Before the implementation of online enrollment, matching students to their desired schools was a slow, manual process. It required staff to sift through piles of paper forms and manually check availability, which often resulted in placement delays.

“When you’re pre-enrolling, you have new families coming into your school district. They want one school, but they really belong to another school,” she adds. The district now has real-time data that makes matching students to their desired schools easier and more accurate. The online system allows staff to see where there’s room in each school and move students accordingly.

Families also benefit from the streamlined process. “You can have that information right away, and those kids can start at their right school right away rather than, ‘Oh, you have to go to your home school, and we have to wait until there’s an opening,’” Bowling adds. Instead of being caught in limbo, students are placed in their chosen schools efficiently, making the transition smoother for families and staff.
